
Smoother reporting and smarter data management in Alfa eCare Welfare
– a successful collaboration between Alfa eCare and Nacka Municipality
Through an innovative collaboration between Alfa eCare and Nacka Municipality's municipal contractor, Välfärd samhällsservice, the municipality has automated its reporting to the National Board of Health and Welfare and internal statistical follow-up in real time, which saves time and increases the quality of the work. Now data can be analyzed in real time, follow-ups are done more frequently and new insights and trends are developed – something that was previously both resource-intensive and difficult to implement.
The project and its importance
In a successful development project, Alfa eCare, in collaboration with Välfärd samhällsservice, has developed a new function for efficient and simple statistical reporting. The aim has been to facilitate Nacka Municipality's work in compiling and reporting healthcare interventions to the National Board of Health and Welfare as well as statistics for internal use, through a more streamlined and technically advanced solution.
"Nacka Municipality has many different business areas that place high demands on producing statistics. Being part of the municipality's digitalization journey is important to us and we are very satisfied with what we have achieved together," says Anna Thelenius, Head of Operations Sweden at Alfa eCare.
The need at Nacka Municipality
Welfare and Community Services previously handled its reporting through manual processes, where statistics were compiled in Excel and processed in several stages. This process was time-consuming, resource-intensive and lacked a unified method to ensure accurate data. The need for a more automated and integrated solution was identified to simplify data collection and analysis in real time.
Through the collaboration with Alfa eCare, the municipality has gained a function that enables faster and more reliable reports directly in the BI tool Qlik Sense. The new solution gives businesses the opportunity to analyze trends in real time, identify different types of interventions and streamline resource planning.
Ara Zarei, business area manager for family and work, who sat on the steering group from Nacka Municipality, emphasizes the importance of this: “This tool has given us a whole new level of visibility into our operations. We can now make decisions based on real-time data, which has improved both our planning and our resource utilization.”
The development process
The project has been characterized by close dialogue between Alfa eCare and Nacka Municipality to ensure that the solution was adapted to the specific needs of the businesses. Through close collaboration and continuous improvements, the technical solution was developed to be both user-friendly and effective.
The collaboration between Alfa eCare and Nacka Municipality was crucial in creating a solution that not only met the technical requirements, but also functioned smoothly in daily operations. A key lesson learned was that developers and business experts needed to work closely together to ensure that the system met actual needs.
Ara Zarei, who was part of the project's steering group, points out: “One of our biggest challenges was getting everyone on the project working towards the same goal. But once we found a common understanding and worked closely with the developers, we started to see real results.”
The new feature has resulted in a significant improvement for Nacka Municipality when it comes to extracting and analyzing statistics at the activity level. Previously, it could take several hours to manually compile statistics, while the same process can now be completed in a few minutes. For example, for elderly care, the time required for reporting to the National Board of Health and Welfare has been halved.
Ara Zarei describes the effect like this: “Today we can extract statistics that give us a factual basis for development and our way of working. We can analyze in a completely different way and make more informed decisions.”
The collaboration between Alfa eCare and Nacka Municipality
The project has shown the importance of a close and continuous dialogue between technology supplier and business. Alfa eCare has, together with Nacka Municipality, worked actively to adapt the solution to the municipality's needs and ensure that the functionality meets the requirements.
Ara Zarei summarizes the significance of the project: “This solution has not only streamlined our work but also given us the opportunity to influence strategic decisions. It is a game changer for us.”
One of the biggest lessons learned from the project was the importance of technology developers and business managers working closely together. By combining Alfa eCare's technical expertise with Nacka Municipality's business insights, a solution could be created that really makes a difference.
“It was when we started working together, instead of just exchanging requirements specifications, that we saw real progress,” says Administrative Manager at Nacka Municipality, Sevgi Åmark.
The collaboration has also led to a greater understanding of how future projects can be run more efficiently. Working iteratively, with frequent coordination and a flexible approach, was crucial to achieving a successful end result.
“We have learned a lot from this project. It shows that the public sector and technology providers can collaborate successfully to create solutions that both save time and improve the quality of decision-making,” concludes Ara Zarei.
This project demonstrates the importance of collaboration between public sector and technical experts to create solutions that not only streamline working methods but also contribute to a more data-driven and predictive administration.
