Lund municipality implements Epsilon to streamline and improve individual and family care

During the spring of 2023, the municipality of Lund has implemented Alfa eCare Epsilon in the municipality's operations within individual and family care. Lund already uses Epsilon in the municipality's nursing homes to plan and streamline daily work while simultaneously increasing quality and safety.

"Epsilon provides a better, daily working environment and is also an important step in quality assurance of the support that is the core of social psychiatry's mission.” So says Alexandra Gäddnäs, project manager at Lund Municipality and project manager for the implementation of Epsilon.

Within the municipality, individual and family care has previously struggled with challenges and problems in the planning process. Manual planning on paper took a lot of time and there was no overview of the day for the employees on duty. Implementing Epsilon involved important steps to overcome these obstacles while improving work process and efficiency.

Epsilon gathers all parts of the planning work and in this way we strengthen continuity and can spend more operational time with the users."

Keyla Fagerström, technical coach and supervisor at Lund Municipality, highlights the deviation system as particularly useful. "It provides clarity and reminds us of the importance of documenting deviations within group housing, and not just within housing support. It leads to more representative documentation and clarifies the user's own responsibilities and what needs to be prioritized in the event of a staff shortage," says Keyla.

One of the most tangible benefits of Epsilon is the improved collaboration between different teams and departments within the municipality. According to Alexandra Gäddnäs, Epsilon has enabled uniform booking and planning within the entire administration. This makes it easier when substitutes work on several units within social psychiatry and quickly need to adapt to different working methods.

The implementation of Epsilon has also resulted in positive effects for both the employees and the people receiving care. According to Keyla Fagerström, the fear of feeling controlled has been replaced by a feeling of security, as all efforts are clearly planned and the risk of something falling through the cracks is reduced. This also makes it possible to be more outgoing and offer more individually adapted efforts.

Alexandra Gäddnäs tells how Epsilon contributed to improving the quality of family and individual care: "In the past, planning the business has been a time-consuming task. Through the implementation of Epsilon, we want to be able to create a safe, efficient and simple planning of granted support. A concrete quality improvement that we see is that more time can be spent on precisely the core mission: to offer Lunda residents with a mental problem, the best possible support for recovery. It is also another step towards a more flexible and comprehensive digital work environment for our employees.”

Alexandra's recommendations to other municipalities considering implementing a similar system include allowing enough time for the process. "It is important to respect the employees' different conditions and offer many, simple and efficient channels for both small and large issues and also the possibility of concrete physical support. It has been one of my main tasks as project manager from the municipality's side. I believe that the Employment and Social Affairs Administration was wise to prioritize extra resources through a project manager who can adapt the system to the administration's needs with full focus and who can take the time to both understand the varying needs of the various units and be available to individual employees.", concludes Alexandra.

Linnéa Lönnbark, project manager at Alfa eCare says: "The municipality of Lund has had very committed project participants and they have constantly talked about the operational boundaries.
